Getting started

What does Burnt Pizza do?

It reads your supplier invoices, checks that the math adds up, and tracks what you pay for each item per pound, gallon or each.

When a price goes up or down, it tells you on the Dashboard and in your Monday report email, with roughly what it cost you.

How do I get invoices in?

Three ways: tap Upload invoice and take a photo or choose a PDF; forward invoice emails to your private Burnt Pizza address (Settings > Invoice email address); or have your sales rep send invoices to that address.

Supplier PDFs (from email or the supplier's website) read best. Paper invoices work too: one clear photo per page, flat, in good light.

How long does it take to read an invoice?

Usually under a minute. The invoice page updates by itself while it's reading.

What should I upload first?

Your last 4 to 8 weeks of invoices. Burnt Pizza compares every item with what you paid before, so a few weeks of history means you see price changes right away instead of next month.

Invoices

An invoice says "Held" or "Needs review". What do I do?

The numbers didn't add up, so we held it back instead of trusting a wrong price. Open it and tap Fix it: the original invoice shows next to what we read, so you can correct a number, remove a line that isn't there, or add one we missed. It re-checks the math as you type.

If the paper invoice itself has the mistake, tap "The invoice really says this. Record it anyway".

Something on a finished invoice was read wrong.

Open the invoice and tap "Something read wrong? Correct it". Same screen as Fix it. Prices and alerts update when you save.

An invoice says "couldn't read".

Open it and tap Try again. A second read often works.

For photos: one page per photo, flat on a table, good light, the whole page in the frame. iPhone HEIC photos only work through the Take a photo button.

Will I get charged twice if I upload the same invoice again?

No. The same file is recognized before it's read, and the same invoice number from the same vendor is marked "Already uploaded. Nothing was counted twice."

What are "Order ... estimate" invoices?

Some suppliers (like PFG CustomerFirst) email an order confirmation with prices before delivery. Burnt Pizza reads those as an early estimate, so you can see price changes before the truck shows up.

When the real invoice for that order arrives, it replaces the estimate automatically. The invoice is always the final word.

My farm or butcher sends one statement for many deliveries.

That works. A statement that lists several dated deliveries is split into one invoice per delivery date. If a later statement repeats old deliveries, only the new ones are added.

Some files say they weren't invoices.

Promos, flyers and price lists are skipped and kept out of your invoice list. You can still see them with the "Show" link at the top of Invoices.

Is there a limit on invoices?

During the free trial: 80 invoices and 40 photo pages. After that: 400 invoices and 200 photo pages every 30 days. PDFs don't count toward photo pages. Need more? Email mike@ohsweet-hospitality.com.

Prices and alerts

How are price changes figured?

Each item is compared with the last time you bought the same item number from the same vendor, per pound, fluid ounce or each. So a bigger case of the same thing never looks like a price jump.

The dollar amount is an estimate: the change times how much you bought.

Small moves (under 5%) aren't flagged, unless it's something you buy a lot of and the dollars add up.

What does "Check this?" mean?

The change was so big (40% or more) that it might be a misread pack size or a billing mistake. Check the invoice. If the same price shows up again on a later delivery, Burnt Pizza takes it as real and stops asking.

What's a "different item" note?

You bought a different item number for the same ingredient (another brand or pack size). It shows how its price compares, but it isn't counted as a price change.

When does the Monday report come, and who gets it?

Monday morning, around 7 AM your time. It goes to the address you signed up with (shown in Settings > Monday report).

Add reports@getburntpizza.com to your contacts so it doesn't land in Junk.

Ingredients

Where do ingredients come from?

Each new item you buy becomes an ingredient automatically, with a plain name. No setup.

How do I rename an ingredient?

Ingredients, tap it, change the name, Save name. Reports and alerts use the new name.

Two vendors sell me the same thing. Can I combine them?

Yes. Open one of them, pick the other under "Same thing as", and tap Merge. The ingredient page then shows both vendors side by side under "Who has it cheaper".

Price alerts still compare each vendor only with itself, so switching vendors never sets off a false alarm.

What are "Same item?" questions?

Sometimes we ask whether a product is the same as something you already buy. A quick yes or no keeps price tracking accurate.

Emailing invoices in

What's my invoice email address?

Settings > Invoice email address. It's private to your restaurant. Use the Copy button rather than retyping it.

How do I set up automatic forwarding?

Settings > Invoice email address has step-by-step guides for Outlook and Gmail. In short: make a rule that forwards emails from your vendor (PFG sends from NoReply@pfgc.com) to your Burnt Pizza address.

Then tap Test my forwarding and forward any email. You'll see "Forwarding works" within a minute.

My test email never arrived.

Most often your email system blocks automatic forwarding to outside addresses (Microsoft 365 does by default, and you may get a bounce mentioning "external forwarding" or 5.7.520). Ask whoever manages your email to allow it, or ask your sales rep to send invoices to your Burnt Pizza address directly.

Also check for a typo in the address, and that your rule's "from" matches the vendor's address.

Gmail asked for a confirmation code.

Gmail sends that code to your Burnt Pizza address. It shows up in Settings under Test my forwarding and in Email activity within a minute. Type it into Gmail and click Verify.

Will I get a reply when I forward something?

Yes, if you forward from your login email or an address on the "Who gets a reply" list in Settings. The reply says what we read, any price changes, or why we couldn't. Vendors and no-reply addresses never get replies.

How do I see what happened to an email?

Settings > Email activity lists the last 15 emails, what became of each one, and links to the invoices.

Plan, billing and cancelling

What does it cost?

Founding price: $19 a month per location, locked for life, for the first 25 restaurants. It starts with a 14-day free trial: $0 today, and you get a reminder before the trial ends.

Pilot restaurants (by invitation): free for 12 months, then $19 a month locked for life. We email you 30 days before the first charge.

How do I cancel?

Settings > Cancel subscription > Yes, cancel. That's it: no calls, no forms.

You keep full access until the end of what you've paid for (or your free period), and you're never charged again. Changed your mind? Tap Keep my subscription.

If I cancel, what happens to my data?

Your invoices and price history stay saved. If you come back, everything is still there, and anyone who had a $19 price keeps it.

How do I update my card or get receipts?

Settings > Card & receipts opens a secure Stripe page. We never see your card number.

Who can do what?

Owners can do everything, including billing and cancelling. Managers can upload, fix and correct invoices. View-only staff can look but not change anything.
